VOLUNTEERS FOR THE HISTORYMAKERS BENEFIT
The HistoryMakers is a national, 501(c)(3) non-profit institution committed to preserving, developing and providing easy access to an internationally recognized, archival collection of thousands of African American video oral histories. We are seeking Volunteers for our third annual fundraising event An Evening With Ossie Davis and Ruby Dee on October 18, 2002 at the Art Institute of Chicago. Since The HistoryMakers archive is intended to educate, inspire and motivate, this year we have added an educational component: Meet The HistoryMakers: A Day of Education. It will be held on Thursday, October 17th at the Wyndham Hotel. This day is dedicated to teachers, librarians, high school and college students. This fundraiser is our most important of our year, since the proceeds go entirely to support our archival endeavors. Michigan, Chicago, Illinois.
NEEDED TODAY AND EVERYDAY:
Description #1: Office Volunteers: Assist with administrative work, i.e., filing, data base entry using Microsoft access, packaging videotape requests for mailing, answering and making phone calls confirming various matters, etc.; to assist with moving materials back and forth between venues during the events.
Need: 8 Volunteers: 4 to do administrative work, i.e., filing, data base entry, packaging videotape requests for mailing, answering and making phone calls re various matters, at the HistoryMakers facility and 4 to assist with moving materials, forms, awards, goody bag products, etc., as needed between venues on the days of the events.
Requirements: 1) Must attend Volunteer Recruitment Meeting, September 26th, 6 p.m. to 8 p.m., at the HistoryMakers facility @ 1900 S. Michigan. 2) To assist with moving materials needed for event, must have a valid driver’s license, an appropriately insured car/van and be available on 10/17 & 10/18 between the hours of 6:30 a.m. and 11:00 p.m. 3) To do administrative work, must be able to come to The HistoryMakers facility, 1900 S. Michigan, when available, Monday-Friday during business hours from 8:30 to 7:00 p.m.; have organizational, phone skills and typing (speed and accuracy) skills. 4) Dress Code: office casual wear
WEDNESDAY, OCTOBER 16, 2002
Description #2: Arrival/Departure Ambassadors: act as ambassador/greeters to the out-of town HistoryMakers (50 HM plus a guest = 100 total) arriving 10/16 at O’Hare Airport, Midway Airport, Amtrak Station and the Wyndham Hotel; act as ambassador/farewellers to the same HistoryMakers departing on 10/19 from the same venues.
Need: Approximately 30 Volunteers to be posted at the designated arrival areas on 10/16 (and departure areas on 10/19) in three five-hour shifts as follows: Shift 1: 8:00 a.m. to 1:00 p.m. Shift 2: 1:00 p.m. to 6:00 p.m. Shift 3: 6:00 p.m. to 11:00 p.m.
Requirements: 1) Attend Arrival/Departure Ambassadors Training Session @ The HistoryMakers facility, 1900 S. Michigan; will be notified of date & time. 2) Professionalism, organization, and must be able to assist senior citizens 3) Cellular telephone 4) Be available for the shift designated in the area designated on BOTH days, 10/16 and 10/19. 5) Ability to handle a flexible schedule and able to guarantee that you will stay if there are delays 6) Ability to think on your feet 7) Dress Code: black, office casual wear
THURSDAY, OCTOBER 17, 2002
Description #3: Education Day Volunteers: assist with registration process for pre and walk-in registration, and serve as room/panel monitors for the Meet The HistoryMakers: A Day of Education Event at the Wyndham Chicago Hotel.
Need: Approximately 27 Volunteers for 3 registration tables (two for pre-registration and one for walk-in registration with 4 at each table) and 15 panel monitors.
Requirements:
The HistoryMakers facility, 1900 S. Michigan; will notify of date & time. 2) Be available 10/17 at the Wyndham Chicago Hotel, 633 N. St. Clair, 3rd Floor, from 6:30 a.m. until clean up, approximately 4:30 p.m. 3) Assist in set-up and clean-up of classrooms 4) Guide moderators, panelists and attendees to their classrooms 5) Serve as timekeepers, coordinating between video crews, moderators and panelists 4) Keep panel on time schedule designated 6) Distribute and collect evaluation forms 7) Dress Code: black, office casual wear
Description #4:Hyatt Regency Ambassadors: act as ambassadors to the 100 in town Chicago-based HistoryMakers; assist with registration process, distributing corsages & boutineers to HistoryMakers, acting as ushers for the Salute to The 2002 HistoryMakers Reception & Dinner, and distributing goody bags as attendees leave.
Need: Approximately 22 Volunteers: 12 for the 4 registration tables (two tables for HistoryMakers/Guests and two tables for Sponsors/Press) and 10 to float as ushers.
Requirements: 1) Attend Hyatt Regency Ambassador/Registration Training Session @ The HistoryMakers facility, 1900 S. Michigan; will notify of date & time. 2) Make connecting “hello” telephone calls to in town HistoryMakers on 10/16, make a special effort to interact with them during the events, and an “interactive” thank you call after event. 3) Be available 10/17 at The Hyatt Regency, 151 East Wacker, from 4:00 p.m. until clean up, approximately to 10:00 p.m. 4) Distribute awards and goody bags, pack up event materials at end of night 5) Dress Code: black, dressy eveningwear
